Payment & Credit Policy

This Policy explains how KICKWISE LTD handles employer Job Credits, paid listing features, Stripe payments, billing, refunds, chargebacks, promotions, pricing changes, and credit use on Kickwise.

1. Scope, Company and Acceptance

This Payment & Credit Policy (“Policy”) governs purchases of Job Credits and other paid employer-side features made through kickwise.net and the Kickwise platform. It forms part of the contractual terms between the purchasing Employer and KICKWISE LTD, trading as Kickwise (“Kickwise”, “we”, “our”, or “us”).

By purchasing Job Credits, applying a paid upgrade, redeeming a paid or promotional credit, or otherwise confirming a paid employer action, you agree to this Policy together with the Kickwise Terms and Conditions, Privacy Policy, the active Pricing page, and any specific information shown to you before confirmation.

If a specific checkout or order summary states the price, currency, number of credits, tax treatment, promotion or paid feature for a particular purchase, that transaction-specific information applies to that order. Mandatory law always prevails.

2. Business Use and Who May Purchase

Job Credits and paid listing features are intended for Employer Accounts acting for a club, academy, federation, league, agency, company, charity, sporting organisation, or other professional or business entity. Candidate and Player accounts cannot purchase Job Credits for job applications.

By making a purchase, you confirm that:

  • you are at least 18 years old;

  • you are acting for business or professional purposes rather than primarily for personal or household purposes;

  • you are authorised to act for the Employer Account and, where relevant, the organisation shown on that account; and

  • the billing, tax and payment information you provide is accurate and may lawfully be used for the transaction.

Kickwise does not charge Candidates or Players to apply for jobs. Job Credits are an employer-side commercial tool and must not be used to impose an application fee on a Candidate or Player.

3. What a Job Credit Is

A Job Credit is a limited contractual entitlement that can be used for eligible paid employer features shown on Kickwise. It is not money, a bank deposit, electronic money, a security, or a cash-equivalent balance.

  • Job Credits have no cash value outside Kickwise.

  • They cannot be withdrawn, exchanged for cash, sold, pledged, or transferred to an unrelated account or organisation unless Kickwise expressly permits it.

  • Credits are attached to the purchasing Employer Account. Where Kickwise allows that account to publish under an approved sub-company or related organisation identity, the same account balance may be used for eligible actions supported by the platform.

  • Ownership of a credit does not guarantee that a listing will be accepted, published, remain published, or achieve a particular recruitment outcome. All listings remain subject to the Terms and Conditions, moderation, verification, and platform rules.

4. Current Credit Costs and Paid Features

Under the current Kickwise Job Credit model:

  • Publish a job for up to 30 days: 1 Job Credit.

  • Each additional 30-day publication period: +1 Job Credit, as calculated and shown by the platform before confirmation.

  • Urgent upgrade: +1 Job Credit.

  • Featured upgrade: +1 Job Credit.

  • Kickwise social media sharing: included with a published listing at no additional Job Credit cost where the active product description states that sharing is included.

Publishing and upgrades are charged separately. Selecting both Featured and Urgent therefore requires the publication credit(s) plus the credit for each selected upgrade.

The active Pricing page and the final confirmation screen show the applicable credit requirement before you commit to an action. Package prices may change in the future, but an order already completed is not repriced retrospectively.

5. When Credits Are Added and Used

Purchased credits are added to the Employer Account after Kickwise receives successful payment confirmation from Stripe. A payment attempt that is pending, incomplete, declined, cancelled, reversed, or not successfully confirmed does not create an entitlement to credits.

A credit is treated as used when the relevant paid action is successfully applied or committed in the platform flow and the required credit deduction is confirmed to the Employer Account. The dashboard or confirmation step should show the credit cost before completion.

  • Editing ordinary listing content does not, by itself, create a new credit charge unless the edit also adds a paid upgrade, extends the paid publication period, or triggers another clearly disclosed paid action.

  • Closing, deleting or filling a job early does not automatically restore credits already used for that publication period or upgrade.

  • If a listing is rejected before it ever becomes publicly available, a publication credit already deducted will ordinarily be restored unless the submission involved fraud, abuse, repeated circumvention, or another serious breach.

  • If a listing is removed after publication because the Employer breached platform rules or applicable law, no automatic credit restoration is due.

  • If Kickwise causes a material technical error that prevents a paid feature from being supplied, we may correct the issue, restore the relevant credit, extend the feature, or provide another appropriate remedy under Section 12.

6. Publication Periods, Extensions and Upgrades

The publication period selected in the job-posting flow determines the publication-credit requirement. A listing of up to 30 days uses one Job Credit. Longer publication periods use additional credits in accordance with the total displayed before confirmation.

If you later extend a live listing, the additional credit requirement will be shown before the extension is confirmed. An extension does not automatically include Featured or Urgent status unless the platform expressly shows that it does.

Featured and Urgent are visibility treatments, not guarantees of a fixed ranking position, number of impressions, applications, interviews or hires. Their presentation may vary by page, device, product design and availability, but Kickwise will provide the paid treatment in a manner reasonably consistent with the description shown when it was selected.

Where social media sharing is included, no additional Job Credit is charged for that sharing. Kickwise retains reasonable editorial discretion over the social channel, timing, wording and format and does not guarantee a particular audience size, reach, engagement level or referral volume.

7. Promotional, Free and Bonus Credits

Kickwise may issue promotional, free, goodwill or bonus credits, including limited first-listing or employer offers displayed on the Pricing page or elsewhere on the platform.

Promotional credits may have separate eligibility, one-use, expiry, campaign, account, organisation or feature restrictions. Any specific terms shown with the promotion form part of that promotion.

  • Promotional credits cannot be redeemed for cash and are not refundable.

  • They cannot be sold or transferred unless the promotion expressly allows it.

  • Kickwise may refuse, reverse or remove duplicate, automated, manipulated or abusive promotional redemptions.

  • If a promotion is linked to a purchase that is later refunded, reversed or successfully disputed, any related promotional benefit may also be removed where fair and applicable.

  • Unless a promotion expressly states otherwise, a promotion does not change the rules that apply to separately purchased Job Credits.

8. Prices, Currency and Taxes

The price you pay is the price presented for the selected package or paid feature immediately before you authorise the transaction, subject to any valid promotion and any tax required to be added or collected.

  • Prices may differ by market, currency, package, campaign, or product configuration.

  • The checkout currency is the currency in which Kickwise requests payment from Stripe.

  • Your bank, card issuer, wallet provider or other payment institution may apply exchange rates, international transaction charges, card fees, or other charges that are not imposed or controlled by Kickwise.

  • Where VAT, sales tax or another tax must be charged, collected, reported or shown, Kickwise may calculate or display it in accordance with the information available and applicable law.

  • You are responsible for providing accurate legal name, billing address, country, tax status, VAT/tax identification number and other billing information requested before checkout.

If a price or credit quantity is displayed incorrectly because of an obvious technical or clerical error, Kickwise may correct the error before accepting the order. If money has already been taken for an order that cannot fairly be honoured because of such an error, Kickwise will return the affected payment or offer another lawful and reasonable remedy.

9. Stripe and Payment Processing

Kickwise uses Stripe to process employer payments. Depending on the checkout configuration and payment method, payment details may be entered into Stripe-hosted or Stripe-powered payment fields and processed by Stripe and the relevant banks, card networks, wallet providers or other financial partners.

Kickwise does not store full payment card numbers or card verification values when those details are handled directly by Stripe. Stripe and any selected payment method may apply their own terms, security checks and privacy practices.

Stripe is the payment processor for the transaction; KICKWISE LTD remains the seller and contractual provider of the Kickwise credits and paid features. Refund decisions concerning Kickwise purchases are therefore handled by Kickwise, subject to applicable law and the payment-network dispute process.

Available payment methods may change and may differ by country, device, currency, risk assessment or Stripe availability.

10. One-Off Purchases; No Automatic Renewal

The current Job Credit model is pay-as-you-go. Buying a Job Credit package does not create a subscription and does not automatically renew the package or authorise recurring charges.

Kickwise will not introduce a recurring charge for an existing Job Credit purchase without a separate, clear offer and your express agreement to the recurring payment terms before the recurring arrangement begins.

This does not prevent you from making additional one-off purchases manually when you need more credits.

11. Payment Authorisation, Confirmation and Failed Payments

When you submit a payment, your bank or payment provider may authorise, decline, require additional authentication, place a temporary hold, or leave the transaction pending. A temporary authorisation or pending bank entry is not necessarily a completed Kickwise charge.

An order is treated as accepted when Kickwise receives successful payment confirmation and records the purchased credits or paid entitlement for the Employer Account, subject to fraud, error and legal controls described in this Policy.

If a payment is later reversed, returned, recalled, found unauthorised, fails final settlement, or becomes subject to a successful dispute, Kickwise may remove or suspend the corresponding unused credits or paid benefits and may restrict further paid use until the payment position is resolved.

If you believe you were charged but credits were not delivered, do not make repeated payment attempts without first checking your Stripe receipt, bank status and Kickwise account. Contact us so that we can investigate duplicate or incomplete transactions.

12. Refunds, Credit Restorations and Corrections

Because Job Credits and paid digital features can be made available immediately and may be used immediately, completed purchases are generally non-refundable once the purchased value has been supplied or used. This rule does not remove any refund, cancellation, remedy or other right that cannot lawfully be excluded.

Kickwise will consider an appropriate refund, credit restoration, extension or correction where, for example:

  • the same order was charged more than once by mistake;

  • Stripe confirmed a successful payment but the purchased credits were not delivered and the issue cannot be corrected within a reasonable time;

  • a material Kickwise billing or technical error caused you to receive materially less than you purchased;

  • a paid feature was not supplied because of a material failure attributable to Kickwise and no reasonable replacement or correction is available; or

  • applicable law requires a refund or other remedy.

A refund is not normally due merely because:

  • you change your mind after a valid business purchase;

  • a vacancy is filled, cancelled, paused, deleted or closed earlier than expected;

  • you do not use purchased credits;

  • a listing receives fewer views, applications or hires than hoped;

  • you selected the wrong package, duration or optional upgrade after the correct information was shown before confirmation; or

  • a listing or account is restricted because of a breach of the Terms and Conditions or applicable law.

Where a refund is approved:

  • it is normally returned to the original payment method;

  • the credits or paid benefit relating to the refunded amount may be removed or cancelled;

  • a partial refund may be used where only part of the purchased value qualifies;

  • promotional credits do not create a cash refund entitlement; and

  • bank, card-network and Stripe processing times may affect when the funds appear. Currency conversion differences or third-party bank charges are outside Kickwise’s control.

To request a review, contact info@kickwise.net with the Employer Account email, transaction or receipt reference, date, amount, and a short explanation. Do not send a full card number or card verification code by email.

13. Chargebacks, Disputes and Payment Reversals

A chargeback or payment dispute is a process initiated through a card issuer, bank or payment method provider. Stripe facilitates the dispute process, but the issuing financial institution or relevant payment network may determine the outcome.

We encourage you to contact Kickwise first where practical so that billing errors can be investigated quickly. Nothing in this Policy requires you to waive a lawful right to contact your bank, card issuer or regulator.

If a transaction is disputed, Kickwise may, where reasonably necessary:

  • suspend or reserve unused credits linked to the disputed payment;

  • temporarily restrict further purchases or paid-feature use while the dispute is open;

  • provide Stripe, the payment network or issuer with relevant evidence such as the order details, policy acceptance record, credit ledger, listing activation records, communications and refund history; and

  • restore or remove credits according to the final payment outcome.

If the disputed payment is permanently reversed after credits have already been used, Kickwise may require the outstanding payment position to be resolved before further paid services are provided. We will not treat a good-faith dispute as misconduct merely because it was filed, but fraudulent or deliberately abusive chargeback activity may be treated as misuse under Section 14.

14. Fraud, Abuse and Payment Security

Kickwise may take proportionate steps to prevent payment fraud, card testing, unauthorised purchases, promotional abuse, account compromise, money laundering risks, sanctions breaches, payment-network violations or other unlawful or abusive activity.

Those steps may include declining or delaying a transaction, limiting payment attempts, requesting reasonable verification, suspending a purchase or paid feature, reviewing account activity, removing improperly obtained credits, or cooperating with Stripe, banks, card networks, regulators or law-enforcement authorities where legally permitted or required.

You must not:

  • use a payment method without the account holder’s authority;

  • manipulate credit balances, checkout values, promotion rules or payment callbacks;

  • create duplicate or deceptive accounts to obtain benefits not intended for you;

  • resell or broker credits without written permission; or

  • attempt to use Kickwise payment systems for activity unrelated to legitimate Kickwise employer services.

If you suspect unauthorised use of your payment method or Employer Account, contact Kickwise promptly and also contact the relevant bank or payment provider where appropriate.

15. Credit Validity and Expiry

Purchased Job Credits do not expire under the current Kickwise model, unless a different rule was clearly disclosed before a particular purchase and is lawful.

Promotional or free credits may have an expiry date or campaign-specific condition where that is clearly stated when they are issued.

Kickwise may correct or remove credits that resulted from a duplicate grant, technical error, refunded or reversed payment, invalid promotion, fraud, abuse, or another adjustment permitted by this Policy or required by law.

16. Account Closure, Suspension and Unused Credits

If you choose to close an Employer Account, unused purchased credits do not automatically become refundable merely because the account is closed. If paid credits remain, contact us before requesting deletion so that any legitimate billing issue can be reviewed.

Where Kickwise permanently closes an Employer Account without misconduct by the Employer and that action makes valid purchased credits unusable, Kickwise will provide a reasonable remedy appropriate to the circumstances, which may include restoring access, moving eligible credits to a verified replacement account for the same organisation, or refunding the unused purchased value where appropriate.

Where an account is suspended or terminated for fraud, payment abuse, unlawful activity or a serious breach, promotional credits may be cancelled and use of purchased credits may be restricted while the issue is investigated. Purchased value will not be confiscated merely as a penalty; its treatment will depend on the lawful payment position, any refunds or reversals, amounts legitimately owed, the nature of the breach, and applicable law.

17. No Recruitment or Commercial Outcome Guarantee

A payment to Kickwise buys the paid platform entitlement described at checkout; it does not buy a guaranteed recruitment result.

Kickwise does not guarantee:

  • a minimum number of listing views, impressions, clicks, applications, interviews or hires;

  • the suitability, identity, availability or response of any Candidate or Player;

  • a fixed search position or continuous top placement unless a specific product description expressly promises it;

  • a particular level of social media reach or engagement; or

  • that an Employer will fill a vacancy within the paid publication period.

Nothing in a Featured, Urgent, social-sharing or other visibility feature changes the Employer’s responsibility for the accuracy, legality and recruitment content of its listing.

18. Pricing, Product and Credit-Rule Changes

Kickwise may change future package prices, package sizes, currencies, promotions, available payment methods, paid-feature definitions, or the number of credits required for future actions. Changes apply prospectively and are displayed before a new purchase or paid action is confirmed.

  • A completed order is not retrospectively repriced.

  • The numerical balance of valid purchased credits will not be reduced merely because package prices later change.

  • The credit cost of a future action is the amount clearly shown before that action is confirmed.

  • If a material change would substantially reduce the reasonable expected value of unused purchased credits, Kickwise will provide reasonable notice and, where appropriate or legally required, a fair remedy.

Kickwise may also discontinue a paid feature. If discontinuation makes an already-purchased, specific paid entitlement impossible to supply, Section 12 applies.

19. Records, Errors and Account Adjustments

Kickwise maintains transaction, credit-ledger and paid-feature records for operational, accounting, security, dispute and legal purposes. These records may include purchase references, credit grants and deductions, listing activations, upgrades, refunds, reversals and adjustments.

We may correct an obvious account error, including a duplicate credit grant, missed deduction, incorrect promotional grant, technical balance error, or adjustment required after a refund or payment reversal. Where a correction materially reduces a balance you reasonably believed was valid, we will aim to provide an explanation through the account, support channel or other appropriate communication.

If your dashboard balance or transaction history appears incorrect, contact us promptly. Reporting an error promptly helps investigation but does not remove any legal right you would otherwise have.

20. Privacy and Payment Data

Personal data connected with purchases, billing, fraud prevention, refunds and disputes is handled in accordance with the Kickwise Privacy Policy. Stripe processes payment and related data under its own privacy documentation and, depending on the activity, may act as a processor/service provider or as an independent controller.

Kickwise may retain transaction identifiers, amount, currency, billing details, payment status, refunds, disputes, chargebacks, purchased packages and credit-use records as described in the Privacy Policy. Where Stripe-hosted or Stripe-powered fields are used, Kickwise does not store full card numbers or card verification values.

When responding to a payment dispute, Kickwise may share relevant transaction and service evidence with Stripe, financial institutions or payment networks where necessary and lawful.

21. Liability, Mandatory Rights and Third-Party Charges

The liability rules and limitations in the Kickwise Terms and Conditions apply to paid services and purchases covered by this Policy.

Nothing in this Policy excludes or limits liability, remedies or statutory rights that cannot legally be excluded or limited. In particular, this Policy does not excuse Kickwise from responsibility for its own fraud, fraudulent misrepresentation, or any other liability that applicable law makes non-excludable.

Kickwise is not responsible for exchange rates, bank charges, card-issuer fees, wallet-provider fees or other third-party charges that are not imposed by Kickwise. Nor can Kickwise control a bank’s authorisation decisions, Stripe’s network availability, or the time a financial institution takes to post a refund, although we remain responsible for taking the steps that this Policy and applicable law require from us.

22. Policy Changes, Governing Terms, Language and Contact

Kickwise may update this Policy to reflect changes in payment providers, law, taxes, pricing architecture, fraud controls or platform products. The version number and last-updated date identify the applicable published version. Material changes apply prospectively unless law requires otherwise, and Kickwise may require renewed acceptance before a future purchase or paid action.

A purchase already completed is generally governed by the version and transaction information presented when that purchase was made, except where a later change is required by mandatory law or is clearly more favourable to the purchaser.

The governing-law and dispute-resolution provisions in the Kickwise Terms and Conditions also apply to this Policy. Local mandatory rights remain unaffected.

Kickwise provides this Policy in multiple languages for accessibility. The versions are intended to have the same substantive meaning. If a translation creates a material inconsistency, the English version is the operational reference to the extent permitted by law, without limiting mandatory rights that apply in another language or jurisdiction.
